Proposal Preparation

This proposal has been prepared on July 13, 2020 by the Team at Stackd Design and Stacked Site. The project lead is Dave Spicer

This proposal was last edited on October 2, 2020. Due to the fast changing nature of web development and plugin updates, this proposal is valid for 30 days.

one Introduction

Hi Chris,

Thank you for the opportunity to put forward a solution!

From our discussion I think I have a solid understanding of the direction you are going and the importance that a good design will play on success of your site.

When we start projects we like to create this project overview which might look a little intimidating at first, but its detail will make sure things get done quickly. I would like to get these details agreed upon before so we can start building the site.

For this project I would like to begin by creating a style guide which can inform the style decisions moving forward. This style guide will give us information about the typography (fonts and fall back fonts, sizes, line heights, kerning, etc) , colours, etc. I already have some ideas for the design using some of the sites we spoke about as inspiration, so looking forward to diving in!

I know how important editing the site will be for you moving forward, so I'd like to use a drag'n'drop editor called Beaver Builder. I currently have agency licensing and thousands of dollars with or plugins to upgrade the functionality which will do everything we need and more. It will also give you control of editing every pixel yourselves after handover.

When we do start the build, Id like to make sure you are chatting with our project manager (Isiah) daily and he'll be providing updates morning and night. You'll be able to see the website getting developed day by day and if you want to take it in a different direction you'll easily be able.

Before the building of your project starts we get a solid plan. That means completing all the information on this page and making everybody is happy with what is getting developed. We ensure we have everything collected so there are no hold ups. This website documentation will outline exactly what you are expecting as deliverables, and what is considered in scope.When we are building your site, the team assigned to your site are only working on your site! You can expect updates morning and night, and to be in contact with the team at anytime through the chat on this page. three Expected Features

GOOD DESIGN PRACTICE

  • The entire site should have consistent typography, and all body fonts should match in regards to size, colour, weight, letter spacing, and line heights.
  • Colours should be consistent at all times and exact hex values should match. Same goes for colour values of shadows, background overlays, hover colours, etc.
  • All padding and margins should be consistent
  • All logos used should be high quality and look good at all scales.
  • It should have great responsive design and look great on all devices from phones through to desktop screens.
  • Ensure Cross Browser Compatibility

 

WORDPRESS

  • WordPress core installation must be up to date.
  • If someone completes the contact form, then the admin should get an email notification.
  • There should be a styled 404 Page to assist with broken links and ensuring the user can continue browsing.
  • The site should have a sitemap for search engines to easily reference and crawl the site.
  • It should be ready to accept SEO information.

 

OPTIMISATIONS

  • It must load fast
  • Images must be compressed and optimised for each viewing device

 

PLUGINS

  • The site should be built with a minimum number of plugins.
  • All plugins must be downloaded only from trusted sources and must be up to date.
  • Drag'n'drop Front-end Editing
  • Site will use a top tier builder as a Drag and Drop editor. We recommend Elementor or Beaver Builder.
  • Must be able to save modules, rows and templates to be easily reused at later stages of development

 

THEME

  • All HTML and CSS codes used must be validated and well formed according to the standards of web.
  • All WordPress and PHP codes used must follow the latest and updated WordPress Codex standards.

 

CRO

  • It should be built with the goal of getting conversions

 

SECURITY

  • It should be built with security in mind allowing for 2 factor authentication and plugging the 3 vulnerable ways that Wordpress can be accessed.

five Site Copy

Copy will be based on what is already available at http://soulspacebrisbane.com.au/

If new copy is required to fit the design we will put in latin text which can be replaced by Chris or a copywriter after the build.

We can add additional sections to proposed pages during development if copy is provided.

It should be noted that copy and images can always be tweaked later after handover.

Six Style Guide

There is no style guide available for this project. 

Chris is looking for a clean / minimal design and favours light / pastel colours (grey, mustard, earthy colours).

seven Fonts, Images and Icons

Fonts

We will look for appropriate fonts within the google font library (fonts.google.com) There are many fonts ready to roll and they are already working across all browsers and devices. The client is welcome to make suggestions from this (or other) font libraries, otherwise we'll use our design eye's to make a decision that works.

Images

We have access to large library of images. Similar to the fonts, we can choose images we think work well. However, we find we get a better result if the client has a look through these libraries and chooses a handful of images they feel could represent their business. This gives us a huge start! You can start looking now if you want! We love using unsplash.com and pexels.com

Icons

We quite often create our own custom icon images. We like to make sure that we use consistent icon styles regarding line strokes, colours, heights, etc. Any input you have is welcome. We often use flaticon for creating icons.

eight Recommended CMS

We would recommend building your site using Wordpress. The site is already Wordpress, and by maintaining this framework we also stand the best chance of not having a negative SEO impact after the switchover.

Wordpress is the most popular framework for building a website in the world today. It is secure and scalable and you’ll always be able to find people who can help you out. It actually started out as a platform for just blogging but has now grown into a platform that can do almost anything (galleries, forums, courses, job boards, eCommerce, etc). Some big companies use it too including Sony Music, Disney, Microsoft News, BBC, Facebook Newsroom, and heaps more. It’s great and makes sense why over 30% of the internet is now built on Wordpress.

nine Recommended Plugins

BEAVER BUILDER

I would like to build your site using a Beaver Builder plugin. It is a really easy to use drag-n-drop editor which gives you control of the site once it's built. You'll be able to edit everything yourself without having to dive into code. I am a huge fan of this builder and have even created a set of tutorial videos that show how easy it is to use here: https://stackedsite.com/getting-started

POWERPACK FOR BEAVER BUILDER

I would also like to use Powerpack for Beaver Builder. These are highly useful, creative, functionality oriented modules and ready to use Beaver Builder page templates for various business niches to be used as starter pages accompanied with drag & drop premade sections and rows to build a custom page layout according to your website design and development requirements.

BEAVER THEMER

I would also like to use Ultimate Addons for Beaver Builder which has plenty of ready to use custom modules for row separator templates, modal popup to professionally design your web pages.

CUSTOM PRESS

CustomPress gives the ability to create custom content like custom post types, custom taxonomies, and custom fields. CustomPress is the only plugin that lets you create all three custom content types in WordPress.

DUPLICATE PAGE

I would also like to use Duplicate Page plugin to easily duplicate posts, pages and custom posts in just a single click.

ten Hosting

We'll be developing this one on Stacked Site (stackedsite.com). This is our platform, we are familiar with it and we are fast. The big benefit to you is you save thousands of dollars in licensing plugins and your site will remain updated, secure and backed up in case of an emergency. Stacked Site is built in Wordpress and is a managed Wordpress environment so you can relax.

Moving forward we will also create saved rows and modules for you so you can easily create new pages that have a similar design and feel without needing to know code. We think you'll be extremely happy on this platform.

Stacked Site does not do email hosting. We think it is generally poor practice to have your emails and hosting in the same place anyway. We would recommend gSuite, Office365 or a hosted mail solution if you need emails. Happy to chat about that further and provide a quote if you would like us to set that up for you.

STACKED SITE HOSTING

The hosting cost is $29/month. 

Included in this cost are your backups, security, updates of Wordpress core and plugins, and upgrades to the site when plugin developers release new features. There is also top-notch support!

EMAIL HOSTING

We would highly recommend GSuite for approx $10/month - here's a list of benefits for using gSuite for your emails: https://kinsta.com/blog/g-suite/

However we can recommend a cheaper mail solution ($29/year) if required. 

DRIP

depending on usage... we suspect $19/month. Drip will handle the customer records and marketing emailer automations

Summary:

We’ll always do our best to fulfil your needs and meet your expectations, but it’s important to have things written down so that we both know what’s what, who should do what and when, and what will happen if something goes wrong. In this contract you won’t find any complicated legal terms or long passages of unreadable text. We’ve no desire to trick you into signing something that you might later regret. What we do want is what’s best for both parties, now and in the future.

So in short;

You (Chris Knight), located at 23 Parker Street Newmarket Brisbane QLD 4051 (“You”) are hiring us (Stacked Site) (“We or Us”) to:

  • Undertake web design and development work

For the estimated total price of $4800 as outlined in our previous correspondence.

Of course it’s a little more complicated, but we’ll get to that.

What do both parties agree to?

You: You have the authority to enter into this contract on behalf of yourself, your company or your organisation. You’ll give us the assets and information we tell you we need to complete the project. You’ll do this when we ask and provide it in the formats we ask for. You’ll review our work, provide feedback and approval in a timely manner too. Deadlines work two ways, so you’ll also be bound by dates we set together. You also agree to stick to the payment schedule set out at the end of this contract.

Us: We have the experience and ability to do everything we’ve agreed with you and we’ll do it all in a professional and timely manner. We’ll endeavour to meet every deadline that’s set and on top of that we'll maintain the confidentiality of everything you give us.


Getting down to the nitty gritty

Design

We create designs that adapt to the capabilities of many devices and screen sizes. We create them iteratively and use predominantly HTML and CSS so we won’t waste time mocking up every template as a static visual. We may use visuals to indicate a creative direction (colour, texture and typography.) We call that ‘atmosphere.’

You’ll have plenty of opportunities to review our work and provide feedback. We’ll either share a Dropbox, Google Drive folder or Github repository or development site with you and we’ll have regular, possibly daily contact by either phone, Zoom, Slack, or the chat feature on the project page.

If—at any stage—you change your mind about what you want delivered or aren’t happy with the direction our work is taking, you’ll pay us in full for the time we’ve spent working until that point and may terminate this contract.

Text content

We will place the text that has been agreed upon above onto your web pages. We are not responsible for creating new text or marketing messages. We can point you in the direction of professional copywriting and editing services, so if you’d like us to create new content or input content for you, we’ll provide a separate estimate.

Graphics and photographs

You can select images you like the look of prior to the project starting, which will help inform us of your stylistic tastes. If you don't give us direction we have access to image libraries where we can choose what we believe are suitable images for your site. If you are unhappy with the images we will show you how to easily change them yourself. If you would like us to change them for you (outside of the revisions round) we can provide a seperate estimate for that. If you are suppliying graphics, you should supply graphic files in an editable, vector digital format. You should supply photographs in a high resolution digital format. If you choose to buy stock photographs, we can suggest stock libraries. If you’d like us to search for photographs for you, we can provide a separate estimate.

HTML, CSS and JavaScript

We deliver pages developed from HTML markup, CSS stylesheets for styling and unobtrusive JavaScript for behaviours.

Browser testing

Browser testing no longer means attempting to make a website look the same in browsers of different capabilities or on devices with different size screens. It does mean ensuring that a person’s experience of a design should be appropriate to the capabilities of a browser or device.

We test our work in current versions of major desktop browsers including those made by Apple (Safari), Google (Chrome), Microsoft (Edge), Mozilla Firefox and Opera. We won’t test in other older browsers unless we agreed separately. If you need an enhanced design for an older browser, we can provide a separate estimate for that.

Mobile browser testing

Testing using popular smaller screen devices is essential in ensuring that a person’s experience of a design is appropriate to the capabilities of the device they’re using. We test our designs in:

iOS: Safari and Google Chrome
Android: Google Chrome

We won’t test in Opera Mini/Mobile, specific Android devices, or other mobile browsers unless we agreed separately. If you need us to test using these, we can provide a separate estimate.

Technical support

Although we have a hosting arm to the business (Stacked Site), this contract is seperate to hosting and therefore we are not agreeing to support for website hosting, email or other services relating to hosting. You may already have professional hosting and you might even manage that hosting in-house; if you do, great. If you don’t, we will recommend one of our preferred hosting providers. If you choose Stacked Site for hosting they have incredible support packages. If you choose a different hosting solution we can set up your site on a server, plus any statistics software such as Google Analytics and will provide a separate estimate for that. Then, the updates to, and management of that server will be up to you.

Search engine optimisation (SEO)

We don’t guarantee improvements to your website’s search engine ranking, but the pages that we develop are accessible to search engines.

Your business success

We cannot take responsibility for the success of your business. A website alone will usually not be the 'magic bullet' solution to having a successful business. The website is one part of the puzzle which needs to be coupled with other services we can't provide like marketing, processes, infrastructure, sales.. you get the point.

Changes and revisions

We don’t want to limit your ability to change your mind. The price at the beginning of this contract is based on the number of days that we estimate we’ll need to accomplish everything you’ve told us you want to achieve, but we’re happy to be flexible. If you want to change your mind or add anything new, that won’t be a problem as we’ll provide a separate estimate for that additional time.

Legal stuff

We’ll carry out our work in accordance with good industry practice and at the standard expected from a suitably qualified person with relevant experience. That said, we can’t guarantee that our work will be error-free and so we can’t be liable to you or any third-party for damages, including lost profits, lost savings or other incidental, consequential or special damages, even if you’ve advised us of them.

Your liability to us will also be limited to the amount of fees payable under this contract and you won’t be liable to us or any third-party for damages, including lost profits, lost savings or other incidental, consequential or special damages, even if we’ve advised you of them.

Finally, if any provision of this contract shall be unlawful, void, or for any reason unenforceable, then that provision shall be deemed severable from this contract and shall not affect the validity and enforceability of any remaining provisions.

Phew.

Intellectual property rights

Just to be clear, “Intellectual property rights” means all patents, rights to inventions, copyright (including rights in software) and related rights, trademarks, service marks, get up and trade names, internet domain names, rights to goodwill or to sue for passing off, rights in designs, database rights, rights in confidential information (including know-how) and any other intellectual property rights, in each case whether registered or unregistered and including all applications (or rights to apply) for, and renewals or extensions of, such rights and all similar or equivalent rights or forms of protection which subsist or shall subsist now or in the future in any part of the world.

Blimey.

First, you guarantee that all elements of text, images or other artwork you provide are either owned by your good selves, or that you’ve permission to use them. When you provide text, images or other artwork to us, you agree to protect us from any claim by a third party that we’re using their intellectual property.

We guarantee that all elements of the work we deliver to you are either owned by us or we’ve obtained permission to provide them to you. When we provide text, images or other artwork to you, we agree to protect you from any claim by a third party that you’re using their intellectual property. Provided you’ve paid for the work and that this contract hasn’t been terminated, we’ll assign all intellectual property rights to you as follows:

You’ll own the website we design for you plus the visual elements that we create for it. We’ll give you source files and finished files and you should keep them somewhere safe as we’re not required to keep a copy. You own all intellectual property rights of text, images, site specification and data you provided, unless someone else owns them.

We’ll own any intellectual property rights we’ve developed prior to, or developed separately from this project and not paid for by you. We’ll own the unique combination of these elements that constitutes a complete design and we’ll license its use to you, exclusively and in perpetuity for this project only, unless we agree otherwise.

Displaying our work

We love to show off our work, so we reserve the right to display all aspects of our creative work, including sketches, work-in-progress designs and the completed project on our portfolio and in articles on websites, in magazine articles and in books.

Payment schedule

We’re sure you understand how important it is as a small business that you pay the invoices that we send you promptly. As we’re also sure you’ll want to stay friends, you agree to stick tight to the following payment details.

You agree to pay each week of development upfront.

We issue invoices electronically. Our payment terms are 7 days from the date of invoice by Direct Debit or the XERO Credit Card payments system. All proposals are quoted in AUD and GST is inclusive. International payments will be made at the equivalent conversion rate at the date the transfer is made.

You agree to pay all charges associated with international transfers of funds. The appropriate bank account details will be printed on our electronic invoice. We reserve the right to charge interest on all overdue debts at the rate of 4% per month or part of a month.

But where’s all the horrible small print?

Just like a parking ticket, neither of us can transfer this contract to anyone else without the other’s permission.

We both agree that we’ll adhere to all relevant laws and regulations in relation to our activities under this contract and not cause the other to breach any relevant laws or regulations.

This contract stays in place and need not be renewed. If for some reason one part of this contract becomes invalid or unenforceable, the remaining parts of it remain in place.

Although the language is simple, the intentions are serious and this contract is a legal document under exclusive jurisdiction of Australian courts.
